The following are questions asked by Offerors, along with the response by Clemson University. Any changes to the original scope reflected in these answers will take precedence over any information in the original Bid solicitation. Any information not addressed specifically in this amendment will remain as stated in the original Bid solicitation.

Addendum #1: Questions and Answers
1. Question 1.4 asks "Provide a copy of the security policies." - Are there particular security policies you are looking for?
ANSWER:
As described in (lines #174 and 182), We currently have “Bot Detection and Avoidance” as a part of our base-level product. Other than that option, we are interested in potential security features your product may have available.
2. Question 1.14.2 asks, "Identify and describe in detail a plan for any required integration with Clemson University’s existing systems. Section VI, Bidding Schedule/Financial Proposal, must include pricing for these required integrations." - Can you specify which integrations are required?
ANSWER:
We have listed options in Single Sign On and other options detailed in our IT Boilerplate. We may consider options integrations if they are possible (see below, Question #6.)
3. Question 1.15.3 asks "If at any time the tool is used for gathering information protected under HIPAA," - What is the question being asked here?
ANSWER:
If the proposed tool meets HIPAA compliance standards and Clemson decides to approve its use for collecting Protected Health Information (PHI), we may ask that the vendor sign a BAA with Clemson.
4. Question: What types of files/attachments would be required? Can you provide an example of what people would attach (provide a use case)? We don't provide this for security concerns. Is this a must-have that, if we don’t provide, would disqualify us from consideration?
ANSWER:
We are expecting a larger range of attachments to be acceptable. We do ask that three (3) attachments be allowed per survey, and that those attachments be uploadable to the survey. We require PDF and Word formats, and it is not disqualifying. We will be evaluating this option, and we may score higher for products with better options and features.
5. 1.14.Conversion/Migration/Integration: a. List current companies and their platforms, software, and/or other services with which the Offeror’s platform is able to integrate. b. Identify and describe in detail a plan for any required integration with Clemson University’s existing
ANSWER:
We currently have a product, Qualtrics “Research for all” Suite, in place, and we need a plan to convert previous usage and users to the new product. Your offering will be evaluated based on the cost, features, and outcome of that process.
6. Bidding Schedule/Financial Proposal, must include pricing for these required integrations. c. If applicable, describe the benefits of optional integrations with Clemson University’s existing systems, including Banner, PeopleSoft, Canvas, Office365, and MySQL
ANSWER:
We have not determined all the benefits of every integration. We are asking you to include possible benefits to your integrations.
7. Migration (Qualtrics data and surveys) – I would like an understanding of your volume. How many surveys are you running with Qualtrics? How many surveys completes want to be migrated?
ANSWER:
Currently, we are seeking a product that would allow all students, faculty, and staff to use the product. As we described in the RFP (#lines 344-348), Clemson has approximately 28,700 students (22,800 undergraduates and 5,900 graduate students) and 6,300 employees (Faculty and Staff) for a total of 35,000 users. Please use the number 32,000 for any pricing. We reserve the right to adjust the number during the award period.
8. What integrations do you have with Qualtrics today?
ANSWER:
Those integrations are listed on the Base level proposal configuration (lines #167 to #182) and include Adobe Analytics, SMS Survey Capability, Salesforce and Tableau Integrations
9. Would there also be requirement to migrate data from these integrations?
ANSWER:
No, it is not a requirement; however, being able to do so would be evaluated and considered in our Award Criteria.
10. Can you provide details so we can determine the level of effort for the migration so we can price it?
ANSWER:
Specific details will be discussed later in the award negotiation phase. We are asking for a general plan and cost for migrating our current user base (6,500 users). Please feel free to qualify your plan with any specific details you need to complete a migration.
11. When will you be providing answers to questions?
ANSWER: When all of the questions have been answered
12. When do you plan to make a decision?
ANSWER: When we are fully satisfied that we have fully evaluated all the bids and believe we have the right tool for Clemson University.
13. When do you want the Survey Tool to be implemented and in use?
ANSWER: As soon as possible once the sourcing process has been completed.
