The Documents for this RFP are modified and/or supplemented as follows and should be included in
the Contractor’s proposal:
General Information:
The Bid Due date has changed from Monday 2/26/24 to Monday 3/11/24 @ 2:15pm
Phase 1 Delivery – Installation to be completed by May 24, 2024.
Phase 2 Delivery – Installation to be completed by August 15, 2024
Requests for Information:
RFI 1
Question – The BID says the installation will be completed in phases. Can you
confirm what is part of each phase so I can quote accordingly?
Response: Two deliveries are required. Phase I delivery to include Pods
A, B and C to be completed by May 24, 2024. Phase II delivery for the
remainder of the project to be completed by August 15, 2024
RFI 2
Question – Most classrooms have 30 chairs, 28 individual desks and a square
table for group learning. Some classrooms have a couple of extra desks and
chairs. Are we to quote 28 desks across the board or follow exactly what is in
the plan?
Response: All classrooms to have 30 Student Desks and 32 Student
Chairs, 1 rectangle mobile table.

Question – Room 322 on third floor is larger in comparison to others but there
is only 20 desks / chairs in the room. Is this an accurate count of desks and
chairs?
Response: This room has built-in existing language stations not shown
on the furniture plan. The desks and chair count is correct.

Question – Furniture in the Administration wing is shown in lighter grey. Are
these areas to be quoted?
Response: The Administration wing is to be part of the quote.

Question – Media Center 1B05 is the high-density shelving to be quoted with a
track system?
Response: High density shelving storage is to be quoted and include the
track system.
Question – Administration 101 please provide more information on seating.
Response: Provide square armless lounge chair similar in construction and
upholstery to the lounge seating at the Commons.
Question – Corridor 108, Main Lobby 137 please provide more information on
seating type and construction.
Response: Please refer to Studio Jaed Addendum 2 attachment.

Question – Art 211 please provide more information on the items at perimeter
of room and adjacent to tables.
Response: Please refer to Studio Jaed Addendum 2 attachment question 8.
RFI 9 Question - The following areas have been modified POD C ART 211, STO 221,
PREP 214, COMMONS 213, ART 222, ART 224. Refer to attached room layout
plans. The additional furniture technical specifications for items not noted in
the BOM are as follows.
Response: Please refer to Studio Jaed Addendum 2 attachment question 9.

Question – Does the city have any preference on brand of furniture?
Response – The City of Providence, Downes, PPSD and design team will
review all submissions to ensure that each item meets or exceeds the
technical specifications noted in Addendum #1 BOM. Note that all items are
to be engineered for heavy duty use environments. Warranties should meet
the 10 – 15 year and Lifetime on all items. Moving parts and casters 5 year
warranty or better.

Question - Is there any information available beyond the attached floor plans?
Response - Refer to Addendum #1 and the provided BOM for basis of
design technical specifications.
Question – What is the required general liability amount for the project?
Response – City of Providence to clarify.
Question - Are reference shelves required?
Response – To be confirmed with Librarian prior to order.
Question - What is the max height allowed for the system (assuming 18” clearance required around sprinkler
heads)?
Response – Maximum overall height to be 6’.
RFI 15 Question - During the walk through it was confirmed that the installs would be done after hours-
either after school or during the weekend. I will have my installer quote it this way but will this be informed on
the BID so that this is priced accordingly?
Response – Phase I will be after hours. Phase II Summer 2024 installation
should be normal business hours.
RFI 16 Question - For the Media center bookcases, is HPL acceptable or is real wood veneer the way to go
here?
Response – HPL with smooth high density MDF board construction is
acceptable.
RFI 17 Question - For the pricing, should we include any freight/ install in the price per unit or are we to put
the installation as a separate line item?
Response – Freight to be included as separate line item.

Response – Freight to be included as separate line item.
RFI 19 Question - Open 3 shelf high steel storage unit 36"w x 24"d. Is it a bookcase?
Response – It’s an open book case & 18”d is acceptable.
RFI 20 Questions concerning 211 Art Room
Question - Ruckus Worktable w/Phenolic top – standard size is 54”x 60”. Checking to see if we can get as
custom option. If custom size is unachievable, will the 54”x60” standard size work?
Response – 54” x 72”L is preferred if available, otherwise 54” x 60”L is
acceptable.
Question - Stout tables w/phenolic top – standard size is 48”x72”. If custom size is unachievable, will the
48”x72” standard size work?
Response – 48” x 72” is acceptable
Question - If we can’t get the Ruckus custom size, but we can get the Stout custom, do you want to shorten it
to 60” to match the Ruckus? (So 54”x 60”).
Response – Yes, shorten.
