AWARD SCHEDULE:
Recommendations will be made to the school board at the May 2, 2024 Regular Board Meeting. Awarded vendor(s) will be notified via email at that time.
LENGTH OF CONTRACT:
Initial contract period will be May 2, 2024 - May 1, 2025, with the option of four (4) one-year renewals. Final contract expiration after all renewals will be May 1, 2029.
SPECIFICATIONS/SCOPE OF WORK:
The Carrollton-Farmers Branch Independent School District (CFBISD) is soliciting proposals from qualified firms to replace kitchen equipment in the Student Nutrition department as specified on the line items.
MINIMUM REQUIREMENTS:
1. The successful respondent must be able to send PDF quotes and accept purchase orders via e-mail.
2. Vendors shall not accept or process orders from any employee or representative of the District unless and until the vendor receives a valid Purchase Order from Carrollton-Farmers Branch ISD.

NOTICE TO OFFERORS
The Carrollton-Farmers Branch Independent School District (CFBISD) is soliciting proposals for the products/services per the
specifications stated elsewhere in this solicitation document. Proposals shall be submitted electronically via CFBISD’s IonWave
portal for the solicitation number (RFP 2024-03-055 – STUDENT NUTRITION KITCHEN EQUIPMENT. The buyer for this

Proposals must be received by 3:00 PM, April 18, 2024. Please allow yourself sufficient time to review this solicitation in detail
and submit a thorough response. As a note, the online bidding system does not allow qualification statements to be submitted
after the posted closing date has passed. Late submissions will not be accepted, so plan accordingly. After the established
deadline, buyer will electronically unseal the proposals within the IonWave portal. Respondents can view who has submitted
proposals by logging into IonWave and viewing the solicitation. Prices will not be read out loud at an opening.
Prospective respondents are prohibited from contacting any Board member, Superintendent, senior staff member, principal,
department head, director, manager, or other District employee who has influence in the evaluation or selection process as
outlined in attribute 2.0 labeled INSTRUCTION TO OFFERORS.
Any submission of information or documents to CFBISD pursuant to this RFP is deemed public information by the District unless
the Director of Purchasing of the District is notified otherwise in the response. CFBISD reserves the right to reject each item
separately or as a whole, and to waive any informality, and to award this bid in the best interest of the District. It is the
responsibility of the vendor to monitor CFBISD's e-bidding portal at https://cfbpurchasing.ionwave.net/Login.aspx for any
addenda to the RFP. Failure to follow any posted addenda may render your submission as non-responsive.
No order is valid under an award resulting from this procurement process until a valid Purchase Order is issued to the vendor.

SECTION 11 40 00 – FOODSERVICE EQUIPMENT
PART 1 - GENERAL
1.01 CONDITIONS OF CONTRACT and DIVISION 1, as indexed, apply to this section.
A.
Carrollton – Farmers Branch Independent School District is to be referred to as the Owner and/or District in the
following specifications.
1.02 SCOPE: All Foodservice Equipment as specified herein. This Request for Proposals will be bid and awarded for Kitchen
Equipment
A.
The purchasing components are detailed further in the Specifications in PART 4 – EQUIPMENT ITEMS. Offerors should
indicate the areas that pertain to the parts or repair services that they are able to provide. Please mark the areas where
you are not able to provide the scope of the purchasing component as “NO BID”.
B.
The Kitchen Equipment Contractor will provide a timeline for project completion with bid submission. The timeline should
be initiated after receipt of a Purchase Order which is estimated to be May 2, 2019. The deadline for installation is
Friday, August 9, 2019. If the vendor cannot facilitate project completion based on the dates provided, that
information should be included in the bid submission.
C. If this timeline is not provided at the time of bid submission, the bid submission will not be considered. This REQUIRED
timeline should include:

Pre-order walk-through with Owner’s licensed trades at all sites

Anticipated equipment delivery date
3.
Pre-installation walk-through with Owner’s licensed trades at sites that required rough-in changes

A.
The utility rough-ins and services required to meet the kitchen equipment specifications shall be extended by the
Owner.
B.
Kitchen Equipment Contractor is required to complete two (2) walk-throughs of all sites receiving new equipment at
the following times:
1.
Prior to ordering equipment to verify rough-in changes necessary to install.
2.
Prior to installation of equipment to verify rough-in changes are adequate for installation.
C. All hardware for final connections to the equipment and related labor to connect the equipment to rough-ins, shall be
the responsibility of the Kitchen Equipment Contractor and provided by the Contractor’s contracted licensed trades.
D. The Kitchen Equipment Contractor shall provide licensed trades for the final plumbing connections to the equipment.
This contractor shall furnish and install all tailpieces, “P” traps, line strainers, indirect copper drain lines, fittings and
stops for a complete system unless noted otherwise in the item specifications or construction document drawings. All
connections shall be made in accordance with local codes, except where plans and specifications exceed code
requirements. Exhaust fans, ducts, gas flues and/or vents shall be furnished by the Owner.
E.
The Owner shall furnish and install disconnect switches, safety shut-offs, required circuiting, control panels, fuse
boxes, fan starters and other electrical controls to complete the project. Starting switches for the kitchen equipment
are to be furnished by the Kitchen Contractor. Labor for final connections from the rough-in to the kitchen equipment
shall be provided by the Kitchen Equipment Contractors licensed Electrical Contractor.
F.
The Kitchen Contractor shall be responsible to furnish and install all related refrigeration work. Final plumbing and
electrical connections shall be made by licensed trades as contracted by the Kitchen Equipment Contractor. Pipe
supports, insulation, spacing and routing of refrigerant lines are to comply with the District’s building standard
requirements.
G. Kitchen Equipment Contractor shall detail and indicate all special provisions required for food service equipment
submitted.
1.05 APPROVED KITCHEN EQUIPMENT CONTRACTORS
A.
Contractors providing the foodservice equipment, foodservice equipment fabrication and foodservice equipment
installation for this project shall meet the following criteria:
1.
Contractor shall have successfully completed three projects of similar size and scope to this project within a
three-year period prior to bidding this project.
2.
Contractor shall be an authorized Dealer for all equipment as specified in this section.
3.
Stainless steel fabrication contractor shall be an N.S.F. Certified fabricator with U.L. recognition.
4.
Contractor shall have offices within a 250 mile radius of the project location.

C. The owner may elect to accept bids from any kitchen equipment vendor whether
or not included on the approved listed as noted in this Specification Section. A company profile and references shall
be submitted with the contractors bid for evaluation and confirmation of acceptance by the Owner.
1.06 QUALITY ASSURANCE
A.
Workmanship and Employees: Workmanship shall be of the highest grade throughout and in accordance with best
standards as practiced for heavy-duty kitchen equipment. The Contractor shall enforce always strict discipline and
good order among his employees, and shall not employ any unfit person.

B.
Site/Facility Access: Access to any C-FB ISD facility for the purpose of repair must have written prior approval from
the Student Nutrition Department with times and date information. All vendors authorized to access a C-FB ISD must
utilize the Student Nutrition Department’s designated entry procedure or they will not be allowed to gain entry to the
facility.
C. Uniforms & Identification: Proper clothing must be worn at all times. Sleeved t-shirts and long pants are the preferred
attire with the company logo on the shirts. Any deviation from this will be reviewed for acceptance.
D. LOGO IDENTIFICATION: C-FB ISD requires that all vendors doing business on C-FB ISD property have their
employees and vehicles identified with company logos on vehicles, ball caps, shirts and/or ID badges.
1.07 STANDARDS
A.
All food service equipment shall be fabricated in accordance with the National Sanitation Foundation (NSF) and post
the seal of approval. Where Contract Documents exceed NSF requirements, the Contact Documents govern. If the
Architect is not satisfied with the sanitary construction casework details, the Contractor shall call in the area NSF
representative for an onsite inspection and evaluation at no cost to the Owner.
B.
All equipment, related accessories and components must be in compliance with the 2015 IECC requirements.
C.
All plumbing pipes and fixtures listed herein shall conform to the Safe Drinking Water Act (SDWA) and its LEAD
FREE standards. If for any reason the fixtures do not pass the standards as set forth by the SDWA, it is the
Contractors responsibility to replace those fixtures with an approved equal, which does comply.
1.08 ELECTRICAL
A.
All fabricated equipment electrical work shall be installed in accordance with local codes, International and Uniform
Building Codes and National Electrical Codes, except where plans exceed codes and specifications. All buy-out
equipment to be listed and/or recognized by Under-writers Laboratories, Inc. All vertical service mounted controls to
be recessed.
1.09 SUBMITTALS
A.
The Contractor shall submit four (4) sets and/or one electronic PDF copy for the Owner’s approval such as assembly
drawings, electrical and mechanical rough-in connection plans, details for plumbing, electrical, air conditioning and
ventilation services for all kitchens equipment and brochures, catalog cut-sheets, specifications and operating
characteristics for buy-out equipment. This submittal set shall be submitted within 35 days of notification of bid
award. Submittals shall be submitted in the following format:
1.
Submittal shall be submitted with front and rear hard protective covers with labeled project name.
2.
Front sheet indicating the name and address of the project, Architect, Foodservice Consultant and Kitchen
Equipment Supplier.
