I. SCOPE OF SOLICITATION
Clemson University is seeking bids for the audio-visual equipment needed for the new Alumni
Center located on campus at the Walker Golf Course and Madren Center Conference facility.
Bidders may submit substitutions as required if referenced part numbers are not currently
available or are heading to end of life. However Clemson reserves the right to reject specific
substitutions as they deem necessary, and to reduce the Bill of Materials if necessary.
II. INSTRUCTIONS TO OFFERORS
Regardless of specific requirements below or in this document, Offerors are required to submit
their proposal electronically through the Clemson University online bidding system. To do so
you must login (registering first) at https://clemson.ionwave.net/Login.aspx and follow specific
instructions for this solicitation. You should register several days in advance of the bid closing
date so you can be approved and login in time to submit a response.
You must attach your complete proposal as a separate pdf files in the online bidding
system –a financial proposal. Submit any additional files if required as redacted proposals.
These attachments must address all the specific requirements outlined in Section II, Instructions
to Offerors, as well as Section III, Scope of Work/Specifications.
Please be sure to thoroughly review all the documents included under the Attachments tab of
the online bidding system for more pertinent for submitting your proposal.
1. INFORMATION FOR OFFERORS TO SUBMIT - In addition to information requested
elsewhere in this solicitation, Offerors should submit the following information for purposes
of evaluation:
-Cover letter to include
-Offeror’s Qualifications
- 3 brief project descriptions for projects of a similar nature, should include name of
entity, location, and time it took to complete the project
-Financial proposal
- The cost of the proposed solutions must be submitted as a stand-alone document the
per item pricing, and this pricing MUST match the total cost that it input into the line
item in the online bidding system. If Clemson cannot easily see that these amounts

match your bid submission may be deemed non-responsive and removed from further
consideration.
- Cost must be all inclusive of all to include any travel, lodging, and other expenses.
- Cost must be entered in the online bidding system where required. Your separate
cost proposal may go into more detail in terms of cost breakdown, options, etc…, but it must
also clearly indicate the cost you enter into the online system. This is the cost that will be
used for evaluation purposes and should reflect the cost for the base technical proposal you
are offering in response to this solicitation. If there are conflicts in the costs you propose or
Clemson can not clearly determine a total cost for your proposal, your response may be
deemed non-responsive.
2. Please follow submittal requirements outlined in the Bid Attributes in the online bidding
system for breakdown of proposals and number of copies that must be submitted.
3. Deadline for submission of Questions: Please see the Activities tab in the online bidding
system for more information regarding submission of questions and how they will be
disseminated.
III. SCOPE OF WORK / SPECIFICATIONS
Provide Audio Visual Systems for Clemson University’s Development & Alumni Center (DAC)
building (aka New Alumni & Visitors Center). Work includes purchase, delivery, installation,
programming, set-up, and confirmation of functional operation of all systems and components as
defined in the below referenced documents. All necessary materials, labor, travel costs, and
miscellaneous expenses associated with the work is to be included.
The DAC building is a 98,000 square foot new construction building including three full levels,
one partial lower level and one partial top level for a total of five floors. Multiple departments of
Clemson University and related organizations will be housed in the building. Spaces receiving
Audio Visual systems include presentation room, event spaces, meeting rooms, conference
rooms, seminar rooms, huddle spaces, private offices, restaurant, and retail space.
Construction on the building is scheduled for completion in late October 2024. Installation of
Audio Visual systems is scheduled to begin in early November 2024. Installation of support
infrastructure for Audio Visual systems may begin in late September or early October 2024
during the final weeks of building construction with prior approval of Clemson University and
the building’s general contractor. Audio Visual systems should be fully functional by January 2,
2025.
