• The bid prices or agreed price will remain firm once a purchase order has been issued and delivered to the Bidder/Vendor.

• By submitting a bid for the City’s consideration, bidder acknowledges and agrees that the attached terms will be part of any contract with the City.

PROPOSAL

This proposal is the bidder’s offer to sell the item(s) set forth on the bid sheet at the price quoted by the bidder herein, under the terms and conditions of this documents and specifications as referenced. The Upper Arlington Public Service Department is seeking bids from qualified vendors to provide Kennedy and American Darling Fire Hydrant Parts. For this bid, there will be no exceptions, or “equal” according to the items listed on the bid sheet. No aftermarket parts will be accepted. The successful bidder shall be required to furnish all conditions pursuant to these specifications on orders submitted through termination of the contract.

LENGTH OF CONTRACT

This contract shall be in effect for one (1) year from the award date, with an option to extend a second year. All terms and conditions shall apply for both contract periods.

SPECIFICATIONS

1. Pricing must be firm and fixed. Pricing must include any delivery/freight fees. The unit price bid shall be effective should the purchases be more or less than the indicated quantities. Upper Arlington intends to purchase all items listed on the bid sheet.

2. All materials listed must meet the specifications as detailed in the Part Specification List below.

GENERAL REQUIREMENTS

1. Bidders must meet all of the general requirements.

2. Deliveries of the parts shall be made to the City of Upper Arlington Public Service Center, which is located at 4100 Roberts Road Columbus, Ohio 43228.

3. All deliveries shall be coordinated between the hours of 7:00 AM to 3:30 PM; Monday to Friday. (614) 583-5350

4. Bidders shall list their supply or manufacturing locations.

CONTRACT AWARD

1. The City of Upper Arlington will evaluate the bids and award the contract on the basis of the lowest and best bid. The City of Upper Arlington reserves the right to reject any and all bids and to award the bid deemed in the best interests of the City.

2. Bids shall be awarded based upon the lowest and best bid, based on the price quoted bidder’s ability to meet all general requirements.

3. The City of Upper Arlington may award a separate contract/purchase order by material type and plant location; Awards may be split to multiple vendors.

4. The successful bidder will be notified in writing once the contract is awarded by the City of Upper Arlington.
