BID REQUEST – Musical Instruments
The Purchasing Office of the Cedar Rapids Community School District requests bids on the
attached listed items. All prices are to be bid F.O.B. 2500 Edgewood Rd NW, Cedar Rapids,
Iowa 52405. Do not include Federal or State Tax in prices submitted.
The Purchasing Office and/or Board of Directors reserve the right to reject any and all bids or
any part thereof, and to waive informalities and to enter into such contract or contracts as shall
be deemed in the best interest of the Cedar Rapids Community School District, in the County of
Linn, State of Iowa.
Bids are due in the Purchasing Office, 2500 Edgewood Rd NW, Cedar Rapids, Iowa 52405 no
later than:
Tuesday, November 7th, 2023 at 10:00a.m. CST.

Any company who desires not to bid at this time and wishes to remain on the School District mailing
list should notify the Manager of Purchasing to that effect. Otherwise, any company not submitting
a bid may be removed from the mailing list for types of items listed in this bid.
GENERAL TERMS & CONDITIONS
1. Items are to be new and ready for student use – except where noted.
2. Shipping is to be included in each item.
3. Where noted, when an accepted equal is listed, trade name listed indicates quality
desired and in no way intends to discriminate against any manufacturer.
4. If bidding for an equivalent instrument of quality, please indicate so and include spec
sheet(s) and reference material. Failing to include a spec sheet for your equivalent
alternative will result in that musical instrument not being taken into consideration.
5. If used instruments are offered, copy the bid response form and fill in information as
requested. Clearly indicate this as an alternate instrument that is being offered.
6. Return one copy of each page showing bid items, giving unit price and total price as
requested. Bids must be on our forms.
7. It is anticipated that bids will be awarded by December 12, 2023.
8. Delivery is required on the bid form. Delivery time will be taken into consideration when
awarding bids.
9. The award will be made from the lowest responsive and responsible bidder based upon
total cost considerations including, but not limited to, the cost of the goods and services
being purchased, availability of service and/or repair, quality, delivery date and other
factors deemed relevant.
10. The Board and the superintendent/designee will have the right to reject any or all
bids/proposals, or any part thereof, and to re-advertise if necessary. The Board will enter
into such contract or contracts as deemed in the best interests of the District.
11. Bids will be awarded by each item separately.
12. Payment to be made twice monthly. Payment release is after the Board approval, as per
Code of Iowa requirements.
