INVITATION TO BIDDERS
PROJECT
Promotional Products RFP 2024
SCOPE OF WORK
The Saint Louis Zoo (“Zoo”) is accepting proposals for supplying branded and promotional
products in order to establish a preferred vendor of record. The intent of this request for
proposal is to identify a single vendor yet the Zoo reserves the right to award on a nonexclusive
and/or an item basis. The primary purpose of this merchandise will be for use by multiple
departments throughout the Zoo such a Marketing, Membership, Creative Services, Donor
Relations, Marlin Perkins Society, Human Resources, and Education for various projects and
events. Items for retail sale and apparel are excluded. The Zoo will enter into a two (2)-year
contract, starting June 1, 2024, with an option to extend an additional two (2) years upon
mutual agreement.
PROPOSAL REQUIREMENTS
Please detail in the following order.
I. Overview
a. Provide an overview of the organization including the full legal name of the
institution, state of organization and supervisory and regulatory authorities that
oversee the institution.
b. Summarize the ownership and management of the firm.
c. Describe any significant changes in the management and/or structure of your firm,
including mergers that have occurred during the past three years.
d. List any foreseeable or anticipated organizational changes in the next 24 months.
II. Profile
a. List the location of your firm's main office and the locations of offices in the City and
County of St. Louis MO.
b. Provide the address of the office location to service the Saint Louis Zoo.
c. Identify the individual who will serve as the primary company representative along
with their contact information, job description, background experience and
qualifications.
d. Provide a brief overview of other representatives assigned to the Saint Louis Zoo’s
account, their roles and responsibilities and their background and experience.
III. Volume

a. Provide a summary of the organizations volume for each of the past three years.
b. Provide an overview of the various sales channel focus.
c. Provide a 2024 price list with current available products and proposed pricing level.
IV. Resources
a. Define graphic art in house capabilities.
b. Describe in detail the firm’s special capabilities and core competencies.
c. List any of the firm’s certifications/credentials or awards.
d. Describe the firm’s breadth of line, commitment to service and sales support.
e. Explain how your firm would be a cultural and strategic fit to the Saint Louis Zoo.
f. Provide examples of the organization’s commitment to customer service.
g. List warehousing capabilities should the Zoo need to store large purchases for
delivery on an as needed basis.
h. Define billing processes and how the organization responds to unforeseeable costs.
(i.e. tariffs, material increases etc.).
V. References
a. Provide list of three references including company name, contact, title, email
address and phone number.
b. Detail length of service with each reference.

PROPOSAL QUESTIONS
All questions must be received by April 3, 2024 for issuing of addendums. All emailed questions
and answers will be shared with all responders. The source of the questions will remain
anonymous. Addendums will be placed on the Zoo website as they become available:
https://stlzoo.org/vendoropportunities. Any oral responses shall be unofficial and not binding on
the Zoo.

BID DATE
Proposals will be accepted on or before 3:00 p.m. on April 11, 2024. Only electronic
submissions will be accepted. Please submit the Proposal as a single pdf to the following link.

To ensure ease of submission, consider uploading well ahead of the deadline time. Late
submissions will not be accepted.
Any submitted proposal shall remain valid and subject to acceptance for ninety (90) days after
the proposal due date.
NOTE: Failure to include a completed Supplier Diversity Utilization Statement will result in
participation recorded as NONRESPONSIVE/ DISQUALIFIED at bid opening.
